Apex Events, LLC – Vendor Terms & Conditions

These Vendor Terms & Conditions apply to all vendors participating in any Apex Events, LLC trading card show.

By registering for a vendor table, you agree to the following:

1. Vendor Registration & Payment

All vendor spaces must be reserved in advance through Apex Events, LLC.
Full payment is required to secure your table(s).
Vendor table assignment will be determined by Apex Events, LLC.
Apex Events, LLC reserves the right to reject any vendor application at its sole discretion.

2. Refund & Cancellation Policy

Vendor fees are non-refundable once payment is submitted.
If the Event is cancelled by Apex Events, LLC, vendors will receive either:
1. A full refund, or
2. Credit toward a future Apex Events, LLC show (vendor’s choice).
Apex Events, LLC is not responsible for refunds due to weather, acts of God, venue issues, or circumstances beyond our control.

3. Set-Up & Breakdown

Vendors must arrive during designated setup hours (provided prior to the Event).
Early breakdown or abandonment of tables without approval is prohibited.
Vendors are responsible for keeping their area clean before leaving.
Vendors must in keep within designated vendor space and may not obstruct walkways or neighboring vendors.

Failure to comply may affect eligibility for future events.

4. Merchandise Guidelines

This Event is focused on trading cards, collectibles and related merchandise.

Prohibited items include:

Counterfeit or fake products
Weapons of any kind
Adult content
Illegal or stolen goods

Vendors are responsible for ensuring authenticity and legality of all merchandise sold.

Apex Events, LLC reserves the right to require removal of any item deemed inappropriate.

5. Vendor Conduct

Vendors must conduct themselves professionally at all times.

The following will not be tolerated:

Harassment or disruptive behavior
Excessive solicitation
Blocking aisles or neighboring tables
Loud or inappropriate music/audio
Smoking, vaping, or illegal substances are prohibited within the event space

Apex Events, LLC may remove any vendor without refund for violations.

6. Liability & Insurance

Vendors participate at their own risk.
Apex Events, LLC is not responsible for loss, theft, or damage to vendor property.
Vendors are responsible for their own merchandise, cash, displays, and equipment.
Vendors agree to indemnify and hold harmless Apex Events, LLC, venue staff, and affiliates from any claims arising from their participation.

Vendors are encouraged to carry their own business liability insurance.

7. Sales Tax & Compliance

Each vendor is solely responsible for:

Collecting applicable sales tax
Holding any required resale permits or business licenses
Complying with all local, state, and federal laws

Apex Events, LLC assumes no responsibility for vendor tax obligations.

8. Photography & Marketing

Apex Events, LLC reserves the right to photograph or record the Event for promotional purposes. Vendor booths and merchandise may appear in marketing materials.

By participating, vendors grant permission for such use without compensation.

9. Table Subleasing

Tables may not be subleased without written approval from Apex Events, LLC.
Unauthorized subleasing may result in removal without refund.

10. Event Changes

Apex Events, LLC reserves the right to:

Modify event hours
Adjust table layout
Substitute venues if necessary

Vendors will be notified of any material changes.

11. Agreement Acceptance

By registering and submitting payment, vendors acknowledge that they have read, understood, and agreed to these Terms & Conditions.
