Auburn Card Show Vendor Terms & Conditions

By registering for and participating in the Auburn Card Show hosted by Trade River Cards & Collectibles, LLC ("Event Organizer"), the vendor ("Vendor") agrees to the following Terms & Conditions.

1. Registration and Payment

Table reservations are not guaranteed until payment has been received in full.
Unpaid reservations may be canceled at the sole discretion of the Event Organizer.
Table assignments are determined by the Event Organizer and may be adjusted as needed prior to or during the event.
Vendors may not transfer, sell, sublease, or assign their tables without prior written approval from the Event Organizer.

2. Cancellation Policy

Vendor payments are non-refundable unless otherwise provided in this policy.
Vendors who cancel more than seven (7) days before the event may be eligible for a refund only if the Event Organizer is able to fill the canceled table(s) with another paid vendor.
Refunds issued under this policy will be less any payment processing fees incurred by the Event Organizer.
Cancellations made within seven (7) days of the event are not guaranteed a refund and will be evaluated solely at the discretion of the Event Organizer.
No refunds, credits, or transfers will be issued for cancellations made within forty-eight (48) hours of the event.
Failure to attend the event without prior notice shall be considered a no-show and is not eligible for a refund, credit, or transfer.
Table transfers between vendors are prohibited unless approved in writing by the Event Organizer.
The Event Organizer maintains a waitlist when possible but does not guarantee that a canceled table will be filled.

3. Setup and Breakdown

Vendor setup times will be communicated prior to the event.
Vendors must be fully set up and ready for business before public admission begins.
Vendors may not begin packing up or vacate their tables before the advertised end of the show without prior approval from the Event Organizer.
Vendors are responsible for removing all merchandise, displays, trash, and personal property at the conclusion of the event.

4. Permitted Merchandise

Vendors may sell sports cards, trading card games, collectibles, memorabilia, comic books, toys, hobby supplies, and other related items approved by the Event Organizer.
The Event Organizer reserves the right to prohibit any item deemed inappropriate, offensive, illegal, counterfeit, unsafe, or unrelated to the event.
The sale of counterfeit merchandise, stolen property, illegal items, weapons, tobacco products, alcohol, controlled substances, or adult material is strictly prohibited.
Vendors are solely responsible for ensuring compliance with all applicable laws and regulations regarding their merchandise.

5. Conduct

Vendors shall conduct themselves professionally and respectfully toward attendees, staff, sponsors, volunteers, venue personnel, and other vendors.
Harassment, discrimination, threatening behavior, excessive profanity, intoxication, or disruptive conduct will not be tolerated.
The Event Organizer reserves the right to remove any Vendor without refund for behavior deemed harmful to the event or its attendees.

6. Liability and Assumption of Risk

Vendors participate at their own risk.
The Event Organizer, DeKalb County Fairgrounds, Middaugh Hall, sponsors, volunteers, and affiliated parties are not responsible for lost, stolen, or damaged merchandise, equipment, vehicles, or personal property.
Vendors are responsible for maintaining appropriate insurance coverage if desired.
Vendors assume all risks associated with participation in the event.

7. Indemnification

Vendor agrees to indemnify, defend, and hold harmless Trade River Cards & Collectibles, LLC, DeKalb County Fairgrounds, its owners, employees, volunteers, sponsors, venue operators, and affiliates from any claims, damages, losses, liabilities, costs, or expenses arising from:

Vendor activities;
Vendor merchandise;
Vendor negligence or misconduct; or
Violations of applicable laws or regulations.

8. Photography and Media

The Event Organizer may photograph, record, or livestream portions of the event.
Vendors grant permission for photographs, video recordings, and images of their booth, displays, and likeness to be used for promotional, marketing, and advertising purposes without compensation.

9. Force Majeure

The Event Organizer shall not be liable for cancellation, postponement, or interruption of the event due to circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, government actions, public health emergencies, labor disputes, utility failures, or venue-related issues.

10. Event Organizer Rights

The Event Organizer reserves the right to:

Refuse or revoke vendor participation at its discretion;
Modify floor plans, table assignments, event hours, or event policies as necessary;
Remove merchandise or displays that violate these Terms & Conditions; and
Enforce all event rules and policies.

11. Agreement

By registering for the Auburn Card Show, the Vendor acknowledges that they have read, understood, and agreed to these Terms & Conditions and agree to comply with all event rules and instructions provided by the Event Organizer.
