By registering as a vendor for any Beltway Card Show event you agree to the following terms and conditions:

1. Application & Approval
Submitting a vendor application does not guarantee a spot. All applications are subject to review and approval by Beltway Card Show. Spaces are assigned at our discretion based on availability, vendor mix, and event needs.

2. Payment & Refund Policy
Vendor fees are non-refundable after December 3, 2025.
Cancellations before this date may receive a refund minus fixed processing and platform fees.
Cancellations after December 3 are not eligible for any refund for any reason.

3. Setup & Attendance Requirements
Vendors must be fully set up by 5:45 PM on show day.
Vendors arriving late must notify Beltway Card Show staff in advance.
Failure to check in or communicate before 6:00 PM may result in forfeiture of your table without refund.

4. Prohibited Items
There is zero tolerance for the sale or display of NSFW (Not Safe For Work) content, adult material, or any items inappropriate for a family-friendly environment. Vendors found violating this policy will be removed from the event immediately without refund.

5. Liability & Personal Property
Beltway Card Show, the venue, and event staff are not responsible for any theft, loss, or damage to vendor property before, during, or after the event. Vendors are responsible for monitoring and securing their own inventory and belongings.

6. Booth Setup & Conduct
Vendors must keep their tables and surrounding areas safe, clean, and professional.
All displays must fit within the assigned vendor space and not obstruct walkways or neighboring vendors.

7. Compliance With Event Rules
Vendors agree to follow all instructions from event staff regarding loading/unloading, elevator use, venue policies, and safety procedures. Failure to comply may result in removal without refund.

8. Sales & Legal Compliance
Vendors are responsible for complying with all applicable laws, including sales tax requirements and the sale of authentic, non-counterfeit products.

9. Photography & Media Release
By participating, vendors grant Beltway Card Show permission to use photos or video of their booth for marketing purposes.
