Collector Takeover Vendor Terms & Conditions

By purchasing or reserving vendor space at Collector Takeover (“Event”), the vendor (“Vendor”) agrees to the following Terms & Conditions. These policies are designed to ensure a safe, fair, and professional experience for all attendees, vendors, staff, and partners.

1. Vendor Space & Setup

Vendor spaces are sold per designated area unless otherwise stated.

Vendors must remain within the boundaries of the space purchased and may not extend beyond their assigned area.

Vendors must complete setup during the designated load-in window provided prior to the Event.

All displays, racks, signage, and fixtures must be freestanding and self-supported.

Aisles and walkways must remain clear at all times to comply with fire and safety regulations.

Collector Takeover reserves the right to reassign vendor locations if necessary for operational, safety, or logistical reasons.

2. Equipment & Display Responsibility

Vendors are responsible for all merchandise, displays, signage, and equipment used within their space.

Vendors must ensure their setup is stable, safe, and does not pose a hazard to attendees or neighboring vendors.

Electrical access is not guaranteed unless explicitly approved in advance.

3. Merchandise & Sales Restrictions

Permitted merchandise includes, but is not limited to:

Trading cards (Pokémon, TCGs, sports cards)
Sealed product, singles, and graded cards
Collectibles, toys, and figures
Pop culture merchandise
Original art and handmade items related to collectibles or fandoms

Prohibited items include:

Alcohol, drugs, or illegal substances
Explicit, hateful, or offensive material
Any items that violate local, state, or federal laws

All merchandise must comply with applicable laws and venue policies.

Collector Takeover reserves the right to require removal of any item deemed inappropriate or in violation of these Terms & Conditions.

4. Licensing, Authenticity & Compliance

Vendors are solely responsible for ensuring they have all necessary rights, licenses, and permissions to sell their merchandise.

Vendors assume full responsibility for the authenticity and legality of all products sold at the Event.

5. Conduct & Professionalism

Vendors must conduct themselves in a professional and respectful manner at all times.

Harassment, discrimination, aggressive sales tactics, or disruptive behavior will not be tolerated.

Vendors must comply with all instructions from Collector Takeover staff and venue personnel.

Failure to comply may result in removal from the Event without refund.

6. Space Sharing & Subletting

Unauthorized sharing, subletting, or resale of vendor space may result in immediate cancellation without refund.

7. Safety, Damage & Liability

Vendors are responsible for maintaining a safe booth environment.

Collector Takeover, the venue, and affiliated parties are not responsible for lost, stolen, or damaged merchandise.

Vendors assume all risk related to participation in the Event.

Vendors are encouraged to carry their own insurance, though it is not required unless otherwise specified.

8. Load-Out & Early Breakdown

Vendors may not begin breakdown or leave the Event early without approval unless the Event has officially ended.

Early breakdown may negatively impact the attendee experience and may affect eligibility for future events.

9. Cancellations, Refunds & No-Shows

All vendor space purchases are final and non-refundable unless otherwise stated.

Failure to attend the Event (“no-show”) forfeits all fees paid.

Collector Takeover reserves the right to cancel or reschedule the Event due to circumstances beyond its control, including but not limited to weather, venue issues, or emergencies. In such cases, options may include credit toward a future event.

10. Media & Promotion

Collector Takeover reserves the right to photograph and record the Event.

Vendors grant permission for their booth, merchandise, and likeness to appear in promotional materials without compensation.

Vendors may promote their participation but may not imply official sponsorship unless explicitly approved.

11. Enforcement & Right to Refuse

Collector Takeover reserves the right to:

Refuse vendor applications
Remove vendors who violate these Terms & Conditions
Enforce policies at its sole discretion to maintain a positive and family-friendly event experience

12. Agreement

By purchasing vendor space or participating in the Event, the Vendor acknowledges that they have read, understood, and agreed to these Terms & Conditions in full.
