Grand Line Card Show — Vendor Terms & Conditions

By submitting a vendor application to the Grand Line Card Show, you agree to the following terms and conditions. Failure to comply with any of the terms outlined below may result in removal from the event, forfeiture of your vendor fee, and/or a ban from future events.

PLEASE THOROUGHLY READ THROUGH THIS DOCUMENT. IT IS A BRIEF READ WITH IMPORTANT INFORMATION. FEEL FREE TO USE A.I. TO SKIM THIS DOCUMENT FOR THE MAIN POINTS.

1. Application & Acceptance

Submitting an application does not guarantee acceptance as a vendor. All applications are reviewed and approved at the sole discretion of the Grand Line Card Show organizing team.
Vendors will be notified of their acceptance or denial via email within 7 business days of submitting their application.
The organizing team reserves the right to accept or deny any application without obligation to provide a reason.
Once accepted, vendors must complete payment of their vendor fee within 3 business days to secure their spot. Failure to pay within this window may result in forfeiture of your table assignment.

2. Vendor Fees & Payment

Vendor fees are non-refundable under all circumstances once payment is captured, including if the vendor cancels or is removed from the event. Refunds will only be issued if the event is cancelled by the organizing team.
All vendor fees must be paid in full prior to the event. Vendors who have not paid in full will not be permitted to set up.
Accepted payment methods for vendor fees are: Cash, Venmo, PayPal, or Zelle.

3. Setup & Teardown

Vendor setup begins at 9:00 AM and the show opens to the public at 10:00 AM. All vendors must be fully set up before the show opens.
Vendor teardown must be completed by 6:00 PM. Failure to vacate your assigned space by this time may result in additional fees imposed by the venue.
Vendors are responsible for transporting all of their own inventory, displays, and equipment to and from the venue.
The organizing team reserves the right to assign or reassign table locations as needed.

4. Conduct & Professionalism

All vendors are expected to conduct themselves in a professional and courteous manner toward attendees, fellow vendors, and event staff at all times.
Harassment, discrimination, or any behavior deemed disruptive or inappropriate will result in immediate removal from the event.
Disputes between vendors or between a vendor and an attendee must be brought to the attention of event staff immediately. Vendors are not permitted to resolve disputes on their own in a manner that disrupts the event.
Vendors may not use aggressive or high-pressure sales tactics toward attendees.

5. Inventory & Authenticity

All products sold or displayed must be authentic and legitimate. The sale of counterfeit, altered, or fraudulently graded cards is strictly prohibited and will result in immediate removal from the event and a permanent ban from all future Grand Line Card Show events.
Vendors are solely responsible for the authenticity and accuracy of all items in their inventory. The Grand Line Card Show organizing team is not liable for any disputes arising from the sale of fraudulent or misrepresented products.
Graded cards must only be sold with their original, intact grading slab from a recognized and reputable grading company.
Vendors must accurately represent the condition and value of all items being sold.

6. Liability & Insurance

Vendors are not required to carry their own insurance. The Grand Line Card Show carries event insurance for the venue. However, vendors with high-value merchandise are strongly encouraged to obtain their own insurance coverage.
The Grand Line Card Show organizing team, its staff, and the host venue are not liable for any loss, theft, or damage to a vendor's inventory or equipment at any point during the event.
Vendors assume all risk associated with transporting, displaying, and selling their inventory at the event.
Vendors are responsible for their own sales tax collection and reporting obligations in accordance with applicable state and local laws.

7. Venue Rules & Compliance

Vendors must comply with all rules and regulations set by the host venue at all times.
Vendors may not alter, damage, or make permanent modifications to the venue, including but not limited to walls, floors, tables, or any venue-owned property.
Vendors are responsible for keeping their assigned space clean and free of debris at all times during and after the event.
Smoking and any illegal activity are strictly prohibited within the venue.
Food & Delivery: Vendors and attendees are welcome to bring in outside food. However, delivery drivers are strictly prohibited from entering the venue. Any violation of this rule will result in a $1,000 fine imposed directly by the hotel — not the Grand Line Card Show organizing team.
Alcohol Policy: Unauthorized bottles of liquor, wine, or beer brought into the hotel are subject to a $75.00 plus tax per bottle corkage fee. If alcoholic beverages are to be served on hotel premises, they must be dispensed solely by hotel servers and bartenders. The hotel reserves the right to request proper photo identification from any person of questionable age and to refuse service to anyone who is underage or appears intoxicated.
Vendors may not set up displays, signage, or materials outside of their assigned table space without prior written approval from the organizing team.

8. Signage & Branding

Vendors may display their own signage and branding within their assigned table space only.
Vendors may not distribute flyers, promotional materials, or advertisements for outside events or businesses without prior written approval from the organizing team.
The Grand Line Card Show reserves the right to use photos or videos taken at the event for promotional purposes. If a vendor does not wish to be photographed, they must notify the organizing team in advance.

9. Sales & Transactions

All sales transactions between vendors and attendees are conducted independently. The Grand Line Card Show organizing team is not a party to any vendor-attendee transaction and assumes no liability for disputes arising from such transactions. While the organizing team will make reasonable efforts to assist with disputes during the event, vendors and attendees are ultimately responsible for resolving any issues between themselves, including through small claims court if necessary.
Vendors are encouraged to clearly display their pricing and any applicable policies (returns, trades, etc.) at their table.
Vendors may not resell or redistribute tickets or event passes.
Gambling & Chance Products: The sale of Oripa, wheel spins, surprise boxes, or any other gambling-style products or services is strongly discouraged. If a vendor chooses to offer such products or services, the Grand Line Card Show organizing team reserves the right to neither endorse nor support the vendor in the event of a transaction dispute. The organizing team is not liable for any consequences arising from disputes related to the sale of such products or services.

10. Cancellation & No-Shows

Vendors who need to cancel must notify the organizing team no later than 14 business days before the event date to avoid penalties in future applications or a permanent ban from vending at Grand Line Card Show events. Vendor fees are non-refundable regardless of when the vendor cancels.
Vendors who fail to show up on the day of the event without prior notice may be penalized in future applications or permanently banned from vending at Grand Line Card Show events.

11. Termination & Removal

The organizing team reserves the right to remove any vendor from the event at any time for violations of these terms and conditions, disruptive behavior, or any other conduct deemed unacceptable.
Vendors removed from the event will not be issued a refund of their vendor fee under any circumstances, regardless of when the removal occurs.
Vendors who are removed or banned may not reapply to future events without prior written approval from the organizing team.

12. Force Majeure

The Grand Line Card Show organizing team is not liable for event cancellations or disruptions due to circumstances beyond our control, including but not limited to severe weather, natural disasters, venue emergencies, power outages, or government mandates. In such cases, the organizing team will work with vendors on a case-by-case basis to determine appropriate next steps.

13. Governing Law & Severability

These terms and conditions are governed by the laws of New York City, New York. Any disputes arising from these terms shall be resolved in accordance with NYC jurisdiction.
If any provision of these terms is found to be unenforceable or invalid, the remaining provisions will continue in full force and effect.

14. Amendments

The Grand Line Card Show organizing team reserves the right to amend or update these terms and conditions at any time. Vendors will be notified of any changes prior to the event.
Continued participation in Grand Line Card Show events constitutes acceptance of any updated terms.

Acknowledgment

By submitting your vendor application, you confirm that you have read, understood, and agree to all of the terms and conditions outlined above. You acknowledge that failure to comply may result in removal from the event, forfeiture of your vendor fee, and/or a ban from future events.
