Vendor Terms & Conditions Agreement

KF Collecting Card Shows

These Vendor Terms & Conditions (“Agreement”) govern participation as a vendor at events organized by KF Collecting (“Organizer”). By purchasing or reserving a vendor table, the vendor (“Vendor”) agrees to comply with and be legally bound by the following terms.

1. Vendor Registration and Acceptance

All vendors must register through the official vendor registration process and submit full payment to secure a table.

The Organizer reserves the sole right to approve or deny any vendor application for any reason. Vendor space is limited and assigned at the discretion of the Organizer.

Table placement and layout are determined exclusively by the Organizer and may not be altered without written permission.

2. Payment Terms

Full payment is required at the time of reservation. Vendor space will not be held without completed payment.

Prices, table availability, and event details are subject to change prior to confirmation of payment.

3. Strict No Cancellation / No Refund Policy

All vendor table purchases are final and non-refundable.

Once payment has been made, the Vendor may not cancel their reservation and will not receive a refund, credit, or transfer for any reason including but not limited to:

Personal scheduling conflicts
Travel delays or issues
Illness or emergencies
Failure to attend the event

If the Vendor fails to appear at the event (“no-show”), the Vendor forfeits the reserved table and all associated fees.

If the event itself is canceled by the Organizer due to circumstances beyond reasonable control (including but not limited to venue closure, weather emergencies, government orders, or other force majeure events), the Organizer may issue refunds or credits at its sole discretion.

4. Setup, Breakdown, and Event Hours

Vendors must comply with all setup times, breakdown times, and operating hours provided by the Organizer.

Vendors may not dismantle their booth or vacate their space before the official end time of the event without prior approval.

Failure to comply may impact eligibility for participation in future events.

5. Cleanliness and Booth Maintenance

Vendors are solely responsible for maintaining a clean and orderly booth space during and after the event.

Vendor obligations include but are not limited to:

Keeping merchandise, displays, and personal belongings within their assigned space
Properly disposing of all trash and materials in designated receptacles
Leaving the vendor space in the same clean condition in which it was provided

Any excessive trash, damage, or failure to clean the vendor area may result in removal from future events and potential additional charges if cleanup services are required.

6. Permitted Merchandise

Vendors may sell trading cards, collectibles, hobby-related items, and related merchandise unless otherwise restricted by the Organizer.

The sale of the following items is strictly prohibited:

Counterfeit or unauthorized merchandise
Illegal items
Items that violate intellectual property laws
Offensive, obscene, or discriminatory materials

The Organizer reserves the right to require removal of any item deemed inappropriate or in violation of this Agreement.

7. Vendor Conduct

Vendors must conduct themselves in a professional and respectful manner toward customers, fellow vendors, venue staff, and event staff.

The following behavior is prohibited:

Harassment or intimidation
Disruptive or aggressive conduct
Interfering with other vendors' business
Activities that negatively impact the event environment

The Organizer reserves the right to immediately remove any Vendor who violates these standards without refund or compensation.

8. Liability and Assumption of Risk

Participation in the event is at the Vendor’s own risk.

The Organizer, its staff, venue partners, and affiliates shall not be liable for any loss, theft, or damage to Vendor merchandise, equipment, or personal property.

Vendors are solely responsible for the security and insurance of their inventory and belongings.

9. Indemnification

The Vendor agrees to indemnify, defend, and hold harmless the Organizer, its employees, contractors, venue partners, and affiliates from any claims, damages, liabilities, costs, or legal expenses arising from:

Vendor activities at the event
Vendor negligence or misconduct
Vendor violation of laws or regulations
Vendor breach of this Agreement

10. Right to Refuse or Remove Vendors

The Organizer reserves the right to refuse entry, deny participation, or remove any Vendor at any time if the Vendor violates these terms or engages in behavior deemed harmful to the event.

Removal from the event will not result in a refund or compensation of any kind.

11. Force Majeure

The Organizer shall not be held responsible for failure to hold the event due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, venue issues, labor disputes, or public safety concerns.

12. Agreement

By reserving a vendor table, the Vendor acknowledges that they have read, understood, and agreed to be bound by these Terms & Conditions.
