Maximum Card Show – Vendor Terms & Conditions

To ensure a safe, respectful, and well-organized event, all vendors participating in the Maximum Card Show are required to comply with the following Terms and Conditions. These guidelines are established to uphold the event’s integrity, safeguard all participants, and create a positive experience for vendors, attendees, and staff.

1. Professional Conduct

Vendors must maintain the highest standards of professionalism throughout the event by:

Treating event staff, attendees, and fellow vendors with courtesy, respect, and integrity.
Refraining from aggressive, abusive, discriminatory, or disruptive behavior.

Failure to adhere to these standards may result in immediate disciplinary action, including removal from the event without refund and disqualification from future participation.

2. Legal Compliance

Vendors are responsible for full compliance with all applicable laws and regulations, including but not limited to:

Business licensing and registration requirements
Sales tax collection and remittance
Product safety and labeling standards

Maximum Card Show and its organizers assume no liability for any legal infractions committed by vendors.

3. Prohibited Items

To maintain a safe and family-friendly environment, the following items are strictly prohibited:

Firearms, knives, or any weapons
Hazardous materials or substances
Counterfeit, stolen, or banned merchandise
Any item deemed inappropriate or unsafe by event organizers or venue security

Violation of this policy may result in immediate removal from the event without refund.

4. Refund and Cancellation Policy

All vendor table purchases are final. Refunds will be granted under the following conditions:

Full Refund: For cancellations made more than 30 days prior to the event date.
Mostly Refund (75%): For cancellations made between 29 and 15 days prior.
Half Refund (50%) For cancellations made between 14 and 7 days prior.
No Refund: For cancellations within 7 days of the event.

Refund may be granted at management’s sole discretion if:

Advance written notice is provided to Maximum Card Show staff, and
The vacated table is successfully resold to an approved vendor.

All refund decisions are final.

5. Vendor Check-In and Registration

Vendors must check in during the designated registration window:

Time: 7:00 AM – 9:15 AM
Location: Official registration area (details provided before the event)

Valid government-issued photo identification is required. Failure to check in on time may result in forfeiture of the table space without refund.

6. Identification and Access Control

Vendor badges must be worn visibly at all times during the event.
Entry to vendor areas is restricted to individuals with valid badges.
Sharing, duplicating, or altering badges is strictly prohibited and may result in removal from the event.

7. Table Assignment and Usage

Tables are assigned in advance and are non-transferable.
Transferring table ownership, subletting, sharing tables with non-registered vendors, or unauthorized resale is prohibited.
Violation of these terms may lead to immediate dismissal without compensation.

8. Liability Disclaimer

Maximum Card Show and its organizers are not responsible for:

Loss, theft, or damage to merchandise, cash, or personal belongings
Injury to vendors or their representatives during setup, event hours, or breakdown

Vendors are strongly encouraged to maintain appropriate insurance coverage.

9. Privacy and Data Sharing

Vendor information including name, contact details, and table location may be shared as necessary with stakeholders such as the event floorplan coordinators, city authorities, or venue management.

10. Additional Policies and Amendments

Maximum Card Show reserves the right to:

Implement additional policies or requirements before or during the event
Modify existing terms to ensure safety and operational success

Vendors are responsible for monitoring official communications for updates.

Acknowledgment and Agreement

By participating in the Maximum Card Show, vendors acknowledge that they have read, understood, and agreed to these Terms and Conditions. Non-compliance may result in disciplinary action including removal from the event and exclusion from future participation.
