Vendor Terms & Conditions

By purchasing a vendor table and participating in an event hosted by The Collector’s Grid, vendors agree to the following Terms & Conditions.

Vendor Responsibility

Vendors are responsible for their own merchandise, displays, cash handling, and equipment at all times. Vendors are encouraged to keep valuables with them when leaving their booth.

Liability Disclaimer

Event organizers, including The Collector’s Grid, the venue, staff, and partners are not responsible for lost, stolen, or damaged merchandise, equipment, or personal belongings.

Participation in the event is at the vendor’s own risk.

Arizona Transaction Privilege Tax (TPT)

Vendors are responsible for following all tax laws in Arizona, which includes obtaining any required Transaction Privilege Tax (TPT) license, collecting applicable sales tax from customers, and reporting and paying those taxes to the Arizona Department of Revenue.

The Collector’s Grid is only the event organizer and does not collect, report, or pay sales tax on behalf of vendors.

By participating in the event, vendors acknowledge that they are solely responsible for their own tax compliance and agree that The Collector’s Grid will not be held liable or responsible for any taxes, penalties, fines, or legal issues related to a vendor’s failure to comply with TPT or other tax requirements.

Permitted Products

Vendors may sell trading cards, collectibles, memorabilia, hobby supplies, custom art and related merchandise.

The following items are not permitted:

Counterfeit
Illegal items
Offensive or inappropriate material

Event organizers reserve the right to request the removal of any product deemed inappropriate.

Booth Space

Each vendor will receive the table space specified in their registration.

Vendors are not permitted to bring additional tables.

Setup & Breakdown

Vendors must:

Set up during designated setup hours
Be fully prepared before event opening
Not begin breakdown before event closing without approval

Early breakdown may affect eligibility for future events.

Security

While the venue may provide general staff or security presence, vendors are responsible for safeguarding their own inventory.

Vendors may leave equipment overnight at the venue; however all items are left at the vendor’s own risk.

Conduct

All vendors must maintain respectful and professional conduct. The following will not be tolerated:

Harassment or aggressive behavior
Disruptive sales tactics
Interfering with neighboring vendors

Violations may result in removal from the event.

Table Transfers / Subleasing

Vendor tables may not be transferred or subleased without prior approval from the event organizer.

All substitute vendors must be approved by The Collector’s Grid prior to the event.

Payment & Refund Policy

All vendor table purchases are final and non-refundable.

Event Changes

Event organizers reserve the right to adjust:

Vendor placement
Table layout
Event schedule
Venue logistics

These adjustments may be made to improve event operations.

Media Release

By participating in the event, vendors grant The Collector’s Grid permission to photograph or film the event and use images or videos for promotional purposes.

Agreement

By purchasing a vendor table or participating in the event, vendors acknowledge that they have read, understood, and agreed to these Terms & Conditions.
