VENDOR AGREEMENT

Upper Canada Mall Hobby Expo

Hosted by: Mojo’s Plush & Pulls, Collectors Clash, and PRO‑TECT

Event Dates: July 10–12, 2026

Venue: Former Toys “R” Us Plaza, Upper Canada Mall, Newmarket, Ontario

1. Vendor Registration & Participation

• Each vendor table may have a maximum of two (2) vendors assigned to it.

• Every individual attending on behalf of a vendor must be registered with the Upper Canada

Mall Hobby Expo for insurance, safety, and due‑diligence purposes.

• Vendor badges and bracelets are non‑transferable under any circumstances.

• Vendors must be fully set up before doors open each day and agree not to tear down until the

official end of day.

• Vendors must bring their own tablecloth, or request one in advance. The Expo requires no

bare tables for presentation quality.

• Tablecloths will be available for purchase at registration for $30 if required.

• Personal music or audio playback is only permitted with prior approval from the event

organizers.

Expo Mall Hours

Vendors must be fully operational during all Expo hours:

Friday: 5:00 PM – 9:00 PM

Saturday: 10:00 AM – 8:00 PM

Sunday: 11:00 AM – 7:00 PM

Early teardown is not permitted.

Setup & Teardown Windows

• Vendors may begin setup 2 hours prior to Expo opening each day.

• Vendors will have 2 hours after closing each day for teardown.

• All vendors must respect these time windows to ensure smooth operations.

Card Catchers App Participation

• The Expo uses the Card Catchers app platform to help guests locate specific cards through

their smartphones.

• Each vendor will receive a unique login code assigned specifically for the Upper Canada Mall

Hobby Expo.

• This code allows vendors to log in, upload featured items, and participate in the interactive

card‑finding experience.

• Vendor participation is strongly encouraged, as it enhances guest engagement and improves

the overall event experience.

2. Product Restrictions (PRO‑TECT Exclusivity Clause)

To respect our official protection partner, PRO‑TECT, vendors may not sell any non‑PRO‑TECT

branded:

• Acrylics

• Card guards

• Sleeves

• Top loaders

• Magnetic holders

• Any other forms of card protection that PRO‑TECT sells

This exclusivity applies for the duration of the event.

If you have any questions about whether a specific item is permitted, please speak with the

show hosts for clarification. We are happy to help.

3. Table Use, Subletting & Transfers

• Vendor tables cannot be resold, transferred, or sublet to any other party.

• If a vendor wishes to share or transfer a table, the Expo must be notified in advance to

approve and ensure proper arrangements.

• Unauthorized table transfers may result in removal without refund.

4. Conduct, Professionalism & Dispute Handling

• All vendors must maintain professional, respectful behavior toward fellow vendors, staff, and

guests.

• While vendors may compete in product categories, the Expo’s priority is a positive guest

experience.

• Misconduct of any kind will not be tolerated.

• The Expo and Upper Canada Mall reserve the right to remove any individual at any time, for

any reason deemed necessary, with no refund issued.

• If any type of dispute arises, vendors must contact Vendor Services immediately so the

matter can be professionally handled and addressed to prevent further escalation.

Mall Conduct & Perks

• The Expo has several participating and pending mall perks available exclusively for vendors.

• Vendors must be respectful within the mall and toward all mall staff and businesses.

• Our community’s behaviour directly affects our ability to return for future events, so

professionalism and courtesy are expected at all times.

5. Insurance Requirement

• Liability insurance is mandatory for all vendors.

• All vendors will be added to the Expo’s insurance policy automatically.

• This coverage is included in the cost of the table and requires no additional payment.

• Vendors must still be registered with the Expo for insurance and safety purposes.

6. Setup, Teardown, Loading Bay & Venue Rules

• Vendors must follow all mall and Expo safety guidelines.

• All equipment, displays, and merchandise must remain within the assigned vendor space.

• Vendors may not block aisles, exits, or emergency access points.

• No early teardown is permitted unless approved by the Organizer.

• Personal music or amplified audio is only allowed with explicit permission from the Organizer.

Loading Bay Operations

• The loading bay will be made available to vendors 2 hours prior to opening and 2 hours after

closing for teardown.

• Vendors must be respectful and must not block:

• Other vendors

• Parking lot traffic

• Loading bay doors

• Emergency exits

• Any obstruction may result in removal from the loading area or disciplinary action.

Restroom Access

• Restrooms will be made available for vendors only.

• Vendors must be respectful of the facilities.

• Any damages will be charged to the responsible vendor.

• Misuse, vandalism, or creating a mess will result in immediate closure of the restrooms for all

vendors.

7. Liability

• The Organizer is not responsible for loss, theft, damage, or personal injury.

• Vendors participate at their own risk and are responsible for securing their merchandise.

• The Organizer is not liable for unforeseen circumstances such as mall closures, emergencies,

or force major events.

8. Governing Law

This Agreement is governed by the laws of the Province of Ontario, Canada.

9. Agreement by Payment (Binding Clause)

By submitting payment for a vendor table, the Vendor acknowledges, accepts, and agrees to

all terms and conditions outlined in this Vendor Agreement.

Payment serves as full and binding acceptance of these rules.

No signature is required.
