Vendor Terms and Conditions – Western MA Card Shows

Vendor Setup
- Vendors may begin setting up at 8:30am on the day of the event. This is subject to change as more details come.
- All vendor tables must be fully set up by ~10:00am for Early Bird attendees.
- More information on the best spots to park for load-in coming soon.
- NO OUTSIDE FOOD/BEVERAGES except water. Hotel rules. We will have the option for a catered lunch, I have a full menu reach out if you are interested.
- CATERED LUNCH AVAILABLE AT ADDITIONAL COST! Reach out for the menu, MUST BE PRE-ORDERED!! YOU CAN NOT ADD THIS DAY OF, our cutoff is 2 weeks before the event.
Booth/Table Space
- Each vendor space includes an 8ft table, x2 Vendor Wristbands for yourself and a helper, and 1 on-site parking spot. If you buy multiple tables, you still only get 1 reserved parking spot! Additional parking spots are $10/ea through the venue.
- Reselling or transferring tables is not allowed. If someone is filling in for you, please connect us directly to make adjustments.
- Additional tables or space must be approved, will incur extra fees, and are subject to availability. Do not bring extra tables. Small shelving is approved as long as it does not impede upon walkways or other vendors areas.
- Vendors are responsible for keeping their area clean and presentable.
- Hotel rooms are available through me at a discounted rate!
Merchandise
- Vendors are permitted to sell only Pokémon, trading cards, sports cards, collectibles, art and related merchandise. NO food or beverage. If you have questions reach out to Kody.
- No counterfeit goods allowed! Violators will be removed immediately without refund.
Conduct
- Vendors must conduct themselves professionally at all times. We reserve the right to remove vendors and their party who do not professionally conduct themselves to our standards, including helpers, aids, children, and other members of their party.
- No unsupervised children
- No loud music, offensive signage, or inappropriate behavior will be tolerated.
Responsibility & Liability
- The event organizers are not responsible for any lost, stolen, or damaged items.
- Vendors are responsible for their own merchandise, equipment, and personal belongings.
- Vendors must comply with all local, state, and federal laws.
- By attending or participating in this event, vendors agree to hold harmless the promoter(Kody's Pokestop/Western MA Card Shows), our staff, potential sponsors, and the venue against any and all claims/expenses/damages/liabilities that may arise from participation in this event.
Payments & Fees
- All vendor fees must be paid in FULL upon application acceptance to avoid waitlist. Our shows have been selling out too quickly to play favorites or delay table fees. *Payment must be submitted directly to Kody via Cashapp/Paypal/Venmo/or ApplePay! Payment will not be processed through Treasure payment platform
- All vendor payments are final. There will be no refunds once payment is submitted.
